2) How we use info

We use information to:

  • Provide and run the Services (SaaS + done-for-you services)

  • Set up and manage accounts

  • Process payments, prevent fraud, and maintain records

  • Provide support and communicate with you

  • Secure, monitor, debug, and improve reliability

  • Measure usage/analytics

  • Market our Services if/when we run marketing campaigns (you can opt out)

3) AI features + Customer Content (important)

MaximyzeAI may provide AI-powered features (automation, assistants, summarization, classification, contextual messaging, etc.).

How your data is used with AI

  • We process Customer Content to deliver the outputs you request (e.g., generate text, analyze documents, populate workflows).

  • We may use your Customer Content to provide contextualized communications and automations for your organization (e.g., better responses, workflows, routing, personalization inside your workspace).

Model training

  • We do not train our own foundation models.

  • When we use third-party model providers (example: OpenAI), we send only what’s needed to generate outputs. OpenAI states it does not train on API/customer business data by default. (OpenAI)

  • If we ever offer an opt-in program to use Customer Content to improve MaximyzeAI features more broadly, we’ll disclose it clearly and give you a choice before it happens.

Human access

Authorized MaximyzeAI personnel may access data only as needed for support, security, or legal compliance, and subject to confidentiality.

4) Who we share info with (vendors + partners)

We share information only as needed to run the Services, including with:

  • Stripe (payments)

  • HighLevel (CRM/automation/workflows)

  • Google services (email, docs, analytics/infra depending on what’s enabled)

  • OpenAI (AI processing)

  • aiCommerce and Brands10x (service delivery/implementation support, if involved in your project)

These providers act as service providers/processors to help us deliver the Services.

We may also share information:

  • For legal/safety reasons (lawful requests, fraud prevention, protecting rights/safety)

  • Business transfers (merger/acquisition/asset sale)

  • With your direction (integrations and sharing you initiate)

5) Cookies + analytics + future advertising

We use cookies/trackers for essential functions (login, security), preferences, and analytics.

Advertising: We don’t currently run ads, but we may in the future. If we enable advertising cookies/pixels later, we’ll update this policy and (where required) provide controls/choices.

6) Data retention

We retain information only as long as needed for:

  • providing the Services,

  • resolving issues,

  • meeting legal/accounting/security obligations,

  • enforcing agreements.

Retention varies by data type and contract terms.

7) Security

We use reasonable administrative, technical, and organizational safeguards to protect information. The FTC emphasizes maintaining an information security program with safeguards to protect customer information (requirements vary by industry and applicability). (Federal Trade Commission)
No method of transmission/storage is 100% secure.

8) US privacy rights (state laws)

Depending on where you live, you may have rights to access, delete, correct, and/or opt out of certain processing such as targeted advertising.

Global Privacy Control (GPC)

If we engage in targeted advertising in the future, we will honor opt-out signals where required (e.g., Colorado recognizes browser-based universal opt-out mechanisms like GPC). (CoAg)

California notice concepts

California law requires notice “at or before” collection and certain disclosures in a privacy policy/notice at collection. (California Privacy Protection Agency)
(If/when your business meets CA applicability thresholds, you’ll want a CA-specific “Notice at Collection” section and operational intake flow.)

How to submit a request

Email [[email protected]] with subject “Privacy Request” and include:

  • your name,

  • email used with the Service,

  • what you want (access/delete/correct/opt out).
